Sometimes things don't go as planned.
If you need to cancel or delete a webinar, just follow these two steps.
Necessary steps to cancel a webinar
1. Turn off email reminders in Univid ✅
You don't want attendees to get reminders to attend the webinar anymore, as it's cancelled.
Thus, let's turn off email reminders, so people won't get notified about the webinar that is now canceled.
To turn the email reminders off. In the sidebar, navigate to "Access & Registration" > "Emails". There you can deselect all the automatic emails from Univid.
Friendly reminder: if you use an integration - remember to check that you don't have any reminders of your own going out from your CRM or similar.
2. Inform registrants via email ✅
The best way to let the registrants now about your canceled webinar, is typically to simply send them an email explaining the situation.
Tip 1: If there is a new set time and date for the webinar - it is a good idea to inform about it, to keep registrants until the new time.
Tip 2: It can also be good to ask those who cannot attend to respond with a brief email back. For example, on-demand can be offered to those who inform proactively, etc.
Optional steps to be on the safe side
So, most registrants will now have the information that your webinar is cancelled.
However, for those occasional registrants that might not check their inbox. We recommend to also do the following.
3. Indicate "cancelled" in the title of the webinar ✅
In the sidebar, press "Edit". And input the new title of the webinar. For example:
Old title: webinar title
New title: "Cancelled: " + webinar title>
4. Put an additional note in the webinar ✅
A final step to can be to put a short message in the chat or Q&A that the webinar is cancelled.
If you are planning to have a new registration page - include the link to the new webinar. For example, using the CTA button.
If it is clearly stated that the webinar is canceled, the "start and end time" can also be edited to a time in the past, then the countdown will disappear.
Now you should be good to go!
Ps. If you are still planning to host your webinar, but at a different time - you can simply duplicate your webinar and update the time and date.
