Emails: Reminders, confirmation and follow-ups

Learn about the webinar emails you can automate with Univid, whether it's to confirm, remind, or follow-up.

Emails are a big part of webinars - both to confirm signups, remind people to show up, add the webinar to their calendar, and follow-up after the webinars is done - maybe with a link to the recording.

What emails are available via Univid?

Univid is not an email marketing platform for inviting potential attendees. Typically, you use your existing email or marketing platform to promote the webinar and drive registrations.

Rather, once someone registers, Univid can take over the webinar communication - making sure registrants receive their personal webinar link, reminders before the webinar, add to calendar buttons, and optional follow-up emails afterwards.

Univid includes the following emails, all of which are optional:

  • Confirmation email – sent directly after registration

  • Reminder emails – up to 3 reminders before the webinar

  • Follow-up email – sent after the webinar, with separate options for attendees and no-shows

You can use all of these emails, only some of them, or turn them off completely if you prefer to manage the communication through your CRM or marketing automation platform.

Confirmation & reminder emails

You have 1 confirmation email, and up to 3 reminders active by default on your webinar. You can choose to only have some of them active or none (if you send out your own via CRM etc).

To configure the emails, in the left sidebar, press "Access and registration" > "Emails".

The reminder email will automatically get the design you have set in your session, with your:

  • Logo

  • Background image (you can upload a custom image)

  • Text, button and header color

  • Language selected

Personal webinar links and tracking

Each email sent from Univid includes the attendee’s personal webinar link. This means attendees can join the webinar with one click, while Univid can correctly track attendance and engagement for each participant.

If you prefer to send your own confirmation or reminder emails, you can also access and use personal webinar links through supported integrations or the Univid API.

Adding a custom header image

You can upload a custom header image via the "Design" tab of Emails settings.

Adding a custom message from the host

You can also add a custom message from the host. This message can include clickable links too.

Keep in mind that including links may affect email deliverability. Links may also not appear as clickable in the email preview, even though they will be clickable in the actual email received by participants.

We recommend testing the email by signing up with a test email address to make sure everything looks and works as expected.

It will show in the email as below:

Also, the workspace name you choose might be visible in the emails, for example when adding a custom message from the host (see above). You can change the workspace name. Or add another workspace (contact Team Univid to upgrade it or add it to your plan)

Adding a custom sender name

The built in reminders will be sent from a Univid email address. However, you can edit the "sender name" to put your own company name for example. Simply navigate to "Access & Registration" > "Emails" and then you can find the "Sender" tab.

Sending email from your own domain

If you want to send emails from your own domain or email adress - you can use one of the supported integrations, to fetch the personal link and distribute the emails on your own.

Follow-up emails

After your webinar has ended, you can send optional follow-up emails to:

  • Attendees

  • No-shows

You can add a custom message, for example to share resources, next steps, or clickable links.

The default copy will automatically be tailored for each group.

Activate on-demand and add recording

If you publish the webinar recording in Univid, the follow-up email can also include a Watch recording button.

The button uses the attendee's personal link, so on-demand viewing and engagement can be tracked in your webinar statistics.

To configure the emails, open your ended webinar and select Follow-up email.
